Recordkeeping and archives: thinking about the modern records management

Abstract: As indispensable evidences of past activities, as well as valuable information resources for future development, organizational records are of crucial value for governments, autonomous bodies, business companies, and other every kind of organizations. Records also often bear "power" to protect human rights and even human lives. Records and archives management is thus one of the most fundamental functions to maintain the modern democratic society. The present paper, from this point of view, introduces a new "recordkeeping" approach and discusses how to create records and archives management systems in an intermediate and smaller organization using this approach.

Mutual cooperation between libraries and archives: The case in Samukawa town

Abstract: The Samukawa town in Kanagawa Prefecture opened the newly combined Samukawa Library & Archives in November, 2006. The Archives was established to collect, conserve and utilize the documented records of the Samukawa district, under the public archives act. At the time of its opening, as a result of mutual discussion, it was decided that the Archives would be in charge of dealing with regional documents including those published by the administration. The Archives has since acknowledged this role and has started providing various types of service for different kinds of documents. It is also mutually cooperating with the Library in such areas as reference, information retrieval systems and dissemination activities. Thus, this combination has become an advantage to the users.

Service strategy of university archives

Abstract: The most important service of this archives is the opening to the public of our collected and compiled historical documents. In additional, supported by the university, the archives can provide various types of service like, lectures, expositions, research projects, public seminars and think-tank functions. This report distinguishes between different types of archives and their functions. We pick up the Hiroshima University archives as a sample of service strategy at an integrated university archives.

Document management in the digital library age

Abstract: Japan, slow to develop an archive system, has always shown a strong tendency to store documents, namely historical documents in its libraries. However this material, fundamentally different to books in the way that information is presented and its methodical order, is handled differently to your general library book and is not widely recognized or always easy or convenient to use. However with the recent progress in digital archives and digital libraries, there has been a definite move towards the computerization of historical documentation in libraries. It is, however, necessary to put this computerized material together with metadata to correspond to document characteristics, attributes and Born Digital Contents, and be developed with the framework required to link it to other relevant documentation and other facilities.

Concerning the management of documents in the era of internal control

Abstract: An internal control is strongly sought for companies to get their business activities sound and sufficient and what supports the framework of the internal control is the mechanism of the document and the information management. Of all the disgraceful affairs and the window-dressing cases in the past they deceived society by forging the documents or the data. So we must construct document management system not to permit counterfeiting or window-dressing by recording facts in the documents precisely, utilizing the precise documents and safekeeping the document strictly.  The amount of consumption of paper increases sharply with rapid increase of information and data. Due to increase of both data and paper, managing them reasonably and preparing the environment for utilizing them must be indispensable. To utilize them thoroughly results in promoting efficiency and generating competitive power. So the management of documents including both of them is sought.  Compliance connects the quality of merchandise and service directly and becomes foundation of reliance. We must understand the new situation where observing the compliance strictly generates competitive power.

The importance of "Vital Records Management"

Abstract: Companies today are facing increasing and more complicated risks with rapid changes occurring on the corporate management level. In Japan natural disasters also pose a serious threat to the security of company operations. This report shows the importance of maintenance of 'vital records' in all areas of business operation related to continuity, organization, and information protection. It begins with a brief explanation of vital records, a sampling method, the development and management of vital records which should be implemented as an integral part of basic company organization. The final section deals with the importance of vital records maintenance in the reconstruction of company organization, continuity of operations, and protection of the rights of customers, stockholders, employee in the event of a company crisis, natural disaster, or terrorism.

Information retrieval services in a fiber company: SDI service using CA Condensates tapes

Abstract: Information retrieval service activities at Unitica was described. It started with compilation of databases from IBM cards of inhouse technical information, followed by the SDI service using Plasdoc magnetic tapes. Then the SDI service system of CA Condensates magnetic tapes was developed. This service continued until online information retrieval became available in late 1970s.
